In addition to these Event Specific Terms & Conditions the enclosed General Terms & Conditions 2025 of Jan Kalmar Beyond Adventure Events (Operator) will apply.
Event Name: Spirit of Speed Arctic
Event Date: January/February 2025
1. Services and Prices, Excess Fee
1.1. All services described in the Event Description “Spirit of Speed ARCTIC 2025” are included unless marked as optional extra.
1.2. Price per Person:
Arctic Control € 9.911 when 2 persons sharing the car and in a double room.
Arctic Race € 10.911 when 2 persons sharing the car and in a double room.
Other price specifications, e.g. single room or single driver surcharge or individual price packages are listed in the Registration Form and charged accordingly.
1.3. The following payment terms apply:
• 25 % deposit of total participation price due within 1 week of receipt of order confirmation from the Operator
• 25% deposit of total participation price due before November 1st, 2024
• 50 % of total participation price due before December 1st, 2024
1.4. Excess fee for a rented Porsche max. 7.500 EURO per incident.
1.5. Payment is to be deposited to Kalmar Holding OÜ, account or by credit card
1.6. Final invoice will be issued by Operator and the deposits will be set off against the final invoice. Any difference between the final invoice and deposit paid will be due upon receipt of the final invoice.
2. Cancellation
2.1. If the Participant withdraws or does not take part in the Event, the Operator is entitled to payment of cancellation charges. The following cancellation terms apply unless the Operator is responsible for the cancellation:
• Until September 30th, 2024 – the cancellation is free of charge
• From October 1st, 2024, until October 31st – 25%
• From November 1st, 2024, until November 30th – 50%
• From December 1st, 2024, up to the Event start or in case of No-Show – 100 % minus any direct refund the Agency can obtain.
• There is a non-refundable handling fee for cancellations of 5% of the total amount regardless of when participation is cancelled which will be set off against deposit or a separate invoice will be issued.
2.2. The Operator may cancel the Event up to November 30th, 2024, should the minimum number of 8 Participants per wave not be reached. The Operator shall notify the Participant as soon as it becomes apparent that the minimum number of Participants will not be reached. The Participant will receive full refund within one week after the cancellation. Any associated compensation for e.g. flight cancellations will not be covered.
3. Weather Conditions
3.1. This event is depending on weather conditions and continuous temperatures below O Degree Celsius.
3.2. In the event of too warm weather or other adverse weather conditions the event may be adapted according to the situation, shortened, paused or cancelled. The decision on what is possible or not is taken only by the Operator.
3.3. If the event is adapted, the driving per day cut short or paused due to bad weather conditions but still overall the event has taken place refunds will not be given.
3.4. If the event has to be cancelled before event start due to bad weather conditions refunds will not be given. The Operator will credit 50% of the participation price paid to an event later in the season or in following year (subject to existing bookings and availability).
3.5. Any extra costs or expenses that incur as a result of bad weather situations, e.g. flight cancellations or changes shall be covered by the Participant.
4. It is recommended to the Participant to acquire adequate travel, travel cancellation and travel interruption insurance that constitute e.g. also sickness, ban of travelling, quarantine or similar measures.
Any notifications are to be communicated to Jan Kalmar Beyond Adventure OÜ (Operator).
